The People Administrator supports the delivery of key people administration and compliance processes across Retail and Head Office global teams.
This role focuses on ensuring colleague checks, documentation and processes are completed accurately and in line with company policies and legal requirements. Working closely with the wider Core People Team and store teams, the role provides administrative support across areas such as right to work checks, onboarding, contract changes, policy governance and the People Team inbox.
Employment Compliance
- Manage Right to Work checks for all colleagues, including uploading documentation, reviewing TrustID outputs, where the checks come back amber or red, and following up on time-limited visas.
- Act as a point of contact for all stores on right to work queries.
- Carry out regular right-to-work audits to maintain 100% compliance with right-to-work legislation.
- Support background checks for new managers and Head Office hires where required
- Process reference requests and confirmation of employment requests in line with company procedure.
Contracts & Documentation
- Produce and issue contract amendments and variation letters.
- Respond to queries relating to terms and conditions of employment, escalating to the People Advisor or People Manager where needed.
- Maintain accurate employee records within our HR system, Dayforce.
Onboarding & Induction Administration
- Support onboarding administration, ensuring documentation is completed correctly in our ATS, Pinpoint and responding to onboarding queries from new starters and managers.
- Assist with Head Office induction administration including; induction office tours, Breakfast with Mark (our CEO) and sending probation reminders.
- Support with the administration of probation processes.
Benefits & Leave Administration
- Support with global benefits administration, including sending required information to benefits providers.
- Assist with documentation relating to leave processes such as parental leave, maternity leave, paternity leave etc.
Policy & Handbook Governance
- Support the maintenance of People policies and colleague handbooks, including version control and document updates.
General People Administration
- Provide general administrative support to the Core People Team.
- Support daily inbox management, responding to enquiries from stores and employees
- Support ad-hoc tasks and queries from Retail and Head Office teams.
Essential
- Previous administrative experience (HR experience desirable but not essential)
- Strong attention to detail and organisational skills
- Comfortable managing multiple administrative tasks
- Good communication skills and ability to respond to colleague queries
- Experience using Microsoft Office and a HRIS/ATS system
Desirable
- Experience in using Dayforce and Pinpoint is desirable but not essential
- Experience in an HR, People or People Operations role
- Experience of working with Global markets such as Canada, US, New Zealand, Australia and Europe
- Exposure to compliance processes such as right-to-work/work eligibility checks
- Experience working in a retail or multi-site environment
- CIPD Level 3 (or interest in studying towards it)
