Job Description

This is a permanent role to support and develop NWC’s People function, helping to make our organisation an even better place to work. You’ll play a key role in supporting day-to-day people matters, while also leading improvements to our systems, processes, policies, and ways of working to ensure they meet the needs of our staff and the organisation.

For the first six months, you’ll report directly to the CEO. This will give you the opportunity to settle into NWC, understand our culture, priorities, and ways of working, and get a full picture of how the organisation operates. After this initial period and as the new Head of Operations remit takes shape, you’ll continue to then work closely with senior leadership, reviewing existing practices and helping to develop and embed new approaches that support both staff and organisational goals.

You’ll take ownership of our people systems, including our HRIS, and lead on updating policies and processes to make them simple, clear, and effective. You’ll also support recruitment, onboarding, reporting, and the smooth delivery of any changes, helping staff to engage confidently with new ways of working.  In the future there is the possibility of line management responsibilities.

People Processes and Systems

(Working closely with the CEO and Senior Leadership Team)

  • Review NWC’s current people systems, policies and ways of working, and make suggestions for improvements.
  • Lead the design and implementation of new or upgraded people processes and systems that make our work more effective and supportive for staff.
  • Take charge of introducing any new people systems or updates, helping colleagues understand and use them confidently, and embedding them into day-to-day practice.
  • Help the leadership team access the right information by developing useful reports and insights from our systems.
  • Support the ongoing development of our training programme for all staff 

Day-to-Day People Support

  • Keep all people records up to date and accurate across our systems, electronic files, and other databases. This includes:
    • Salary changes
    • Changes to contracts, terms and conditions
    • Records of formal meetings
    • Absence tracking including annual leave, sickness, emergency leave, phased return, parental leave, compassionate leave and carer’s leave
  • Be the first point of contact for people questions, giving helpful guidance and escalating complex issues to the Senior Leadership Team, CEO, or Legal Advisors when needed.
  • Maintain the organisational chart and support workforce information.
  • Produce and contribute to reports on sickness, staff turnover, staff survey results, and workforce demographics.
  • Stay up to date with employment laws and best practice, keeping the Senior Leadership Team informed about anything relevant.
  • Support formal people processes, such as disciplinary or grievance meetings, including taking independent notes where needed.

Payroll Support

  • Work closely with the Finance Officer and Head of Finance to make sure changes to contracts, starters, leavers, and terms are recorded accurately for payroll.
  • Prepare monthly absence reports and make sure employees and Finance are aware of any changes to sick pay entitlement.

Recruitment and Selection

  • Support hiring managers to make sure recruitment materials and job adverts are accurate, inclusive, and appealing.
  • Advertise roles on relevant job boards, and work with our External Relations & Comms team to share vacancies on our website and social media.
  • Explore other recruitment channels to reach the right people for specialist or hard-to-fill roles.
  • Manage the recruitment mailbox, responding to applicant and manager queries in a friendly and timely way.
  • Help coordinate interviews, from scheduling and room bookings to supporting managers and candidates through the process.
  • Work closely with the Head of Therapeutic Services to support the Renew Service for the Therapy Team, helping to arrange interviews, participating on panels, and assisting with induction and the management of related documentation

General Requirements

  • Provide support across NWC administration when needed.
  • Attend and contribute to staff meetings, team meetings, supervisions, and working groups.
  • Be part of the NWC community of women, activities and events
  • Support other teams with appropriate cover as needed

We are looking for someone with a CIPD Level 3 qualification as a minimum. CIPD Level 5 would be an advantage, but we also welcome applications from candidates with relevant HR experience who can demonstrate the skills needed for the role.

 

 

 

What you'll earn (you won't find "competitive salary” written instead of a figure on our watch!)

£31,751 per annum FTE (£25,744 approx. for 30 hours per week)
